Preparing for a turnover clean begins before anyone arrives with cleaning supplies. Property managers, landlords and apartment-community contacts need a clear picture of the unit: what remains inside, which work is unfinished and what cleaning is actually being requested.

This guide focuses on organizing that handoff. It is a preparation checklist, not a promise that every listed task is included. Confirm the Unit Is Ready for Cleaning

  • Identify unfinished work and who is coordinating it.
  • Check utility availability and share relevant limitations.
  • Explain when belongings or other obstructions will be removed.

If the unit is not yet ready, give the property contact a clear list of what remains. Discuss the sequence during the quote so cleaning is planned around the actual condition rather than an assumed completion date.

Remove Belongings and Identify What Stays

Arrange for previous-resident belongings to be addressed through your property process. Identify items intentionally remaining, such as appliances or furnishings, and distinguish them from items awaiting collection. Do not assume that a cleaning visit includes removal or disposal.

Note anything that blocks a floor, cabinet or other requested surface. If an area cannot be cleared before the visit, explain that limitation and discuss how it affects the cleaning plan. A short room-by-room list is more useful than simply saying the apartment is empty.

Document the Unit’s Current Condition

If you have photos, label them by unit and room and explain when they were taken. Ask how to share them during the quote conversation. Keep unrelated resident information and sensitive documents out of photos; written condition notes can also provide useful context.

Update the contact if the condition changes after your initial request. Notes from before a resident leaves may no longer represent what is there on the day of cleaning.

Identify Kitchens, Bathrooms and Interior Details

Organize the requested areas by room. Focus on the surfaces and conditions you want discussed rather than assuming that “turnover cleaning” automatically covers every interior detail.

  • Kitchens: counters, sinks, accessible surfaces and floors.
  • Bathrooms: sinks, fixtures, counters, tub or shower areas, toilets and floors.
  • Living areas and bedrooms: accessible surfaces, floors and areas needing additional attention.
  • Interior details: describe the specific location, access and condition.

Confirm Appliance and Cabinet Requests

Name appliance-interior and cabinet-interior requests explicitly. A kitchen cleaning request does not, by itself, explain whether you want the inside of an appliance or cabinet included.

  • List each appliance or cabinet area you want considered.
  • Describe visible condition and any remaining contents.
  • Confirm what will be cleared and when.
  • Ask whether the requested interior work is included in the cleaning plan.

Keep cleaning requests separate from appliance operation, faults or repairs. Discuss any access limitations before the scope is agreed rather than assuming they can be resolved during the visit.

Provide Access, Keys and Entry Instructions

Identify the property contact who will coordinate entry. Provide the correct unit number, building information and any applicable access windows or community instructions. Make sure the cleaning location can be distinguished from the property office or another unit.

Explain whether someone will meet the cleaner or whether another entry arrangement needs to be agreed. Coordinate actual keys, codes and sensitive access details directly through an agreed contact method; they do not need to be included in a general preparation document or initial quote message.

Also identify restricted rooms, items to leave untouched and any other people expected on site. Clear instructions help the agreed cleaning plan reflect the access that will actually be available.

Share Timing and Handover Priorities

Separate your preferred cleaning date from the property’s handover target. Explain both, along with any outstanding work that could affect the sequence. A target move-in date is useful context, but it is not a confirmed cleaning appointment.

If a detail is unknown, say so. A transparent description is more useful than a guess, and the final scope can be discussed before scheduling.

Multiple Units — Keep Details Organized

Use a separate entry for each unit. Two apartments at the same property may differ in size, condition, remaining contents, requested details and availability for access. A single summary can hide those differences.

Keep each unit’s address or identifier next to its condition notes, requested scope, contact and preferred timing. If photographs are shared, match them to the correct unit. Identify which units are ready and which still have work outstanding.
