What Should You Include in a Commercial Cleaning Quote Request?

Organize the details that help a cleaning company understand your space, your priorities and the work you want discussed.

A useful commercial cleaning quote request describes the space and the work you have in mind. A business name and a preferred date are a start, but they do not explain which rooms need attention, the condition of the floors or how a cleaner will gain access.

Use this guide to organize the information before contacting a cleaning company. These are discussion prompts, not a list of tasks automatically included in LV Knights service. The estimate and cleaning plan depend on the property, requested work and agreed scope.

Start With the Type of Commercial Space

Explain what the space is and how it is used. An office, a shared property area and a vacant apartment have different cleaning priorities, even when their floor areas are similar. Describe the actual setting rather than relying on the word “commercial” to cover everything.

  • Business or property name and the contact coordinating the request.
  • Type of space and its everyday use.
  • Whether the areas are occupied, shared or vacant.
  • Rooms or sections included in the request and any areas excluded.

If your request concerns several spaces across a property, explain that relationship. Cleaning support for managed properties may be a useful starting point for broader property needs.

Property Location and Approximate Size

Provide the location and approximate square footage if you know it. Clarify whether that measurement covers the whole property or only the areas you want cleaned. A building’s total size can give the wrong impression when the request is limited to a few shared rooms.

  • City, property address or location, and suite or unit details where relevant.
  • Approximate size of the cleaning area.
  • Number of rooms or distinct areas needing attention.
  • Any separate spaces that require their own access arrangements.

If measurements are unavailable, say so and describe the layout. Size is useful context, but it is not a price by itself. Condition, surfaces and requested work also shape the estimate.

Describe the Areas That Need Cleaning

List the areas individually and give a short explanation of the work you want considered. This helps distinguish general cleaning from a request focused on a particular room or surface.

  • Office rooms and accessible work-area surfaces.
  • Common or shared spaces and their main cleaning priorities.
  • Restrooms, including the surfaces needing attention.
  • Breakroom or kitchen-type areas, if applicable to your space.
  • Floors and any areas with different flooring materials.
  • Accessible surfaces needing dusting or wipe-downs.

Listing an area starts the scope conversation; it does not automatically include every task within it. Explain any interior, restricted or additional work separately and confirm what can be included.

Explain the Current Condition

Describe what is present now. “Needs cleaning” is less useful than noting visible dust, residue, buildup or a shared area that receives frequent use. Identify where additional attention is needed rather than applying one description to the entire property.

Also mention belongings, furniture or occupied areas that limit access. Flag fragile items, material-specific care instructions and surfaces you are unsure about. Cleaning needs should be distinguished from wear, damage or repairs.

The same floor area can involve different work depending on the property’s condition. Clear observations help the quote reflect the actual request without relying on assumptions.

One-Time vs. Recurring Cleaning Needs

Say whether you are requesting a one-time clean or want to discuss recurring cleaning. For recurring needs, describe the frequency you have in mind and which areas would need attention each time.

A request for ongoing cleaning may still include a particular area with more buildup at the start. Explain that distinction so the initial priorities and any continuing plan can be discussed separately.

LV Knights can discuss one-time or recurring needs during the quote. A preferred frequency is a request, not a confirmed schedule or contract. Scope and appointment availability must be agreed directly.

Access, Timing and Building Instructions

Share the practical access window and preferred timing. Explain when the requested areas can be reached and whether people will be using them. That information is more useful than assuming cleaning can take place at any hour.

  • Preferred date or timing and available access hours.
  • The contact coordinating entry and property instructions.
  • Relevant building instructions and rooms that are off-limits.
  • Occupied or shared areas that may affect the sequence of work.
  • Any other work scheduled in the areas you want cleaned.

Discuss keys, entry codes and other sensitive access details directly through an agreed contact method. Submitting a quote request does not reserve an appointment, and an access window does not guarantee that a particular time is available.

Floor-Care Details to Mention

Floor type and condition matter. Provide the flooring material if known, describe visible buildup and explain how the area is used. Identify high-use sections or shared spaces that need particular attention.

  • Floor material and approximate area.
  • Visible buildup or specific cleaning concerns.
  • Traffic and everyday use of the space.
  • Furniture or access limits affecting the floor.
  • The floor service you want to discuss.

If floor care is the main purpose of your request, review Commercial Floor Cleaning. Polishing should be requested specifically and discussed for the surface. Do not assume a general clean includes a particular floor treatment or a guaranteed finish.

Areas That May Need Extra Attention

Make a short priority list. Name the area, describe its condition and explain the attention you want considered. “The shared-room floor has visible buildup” communicates more than simply requesting a deeper clean everywhere.

Separate everyday cleaning priorities from additional interior details or material-specific requests. Where work depends on access or surface suitability, discuss this during the quote rather than treating it as automatically included.

If specialized requirements apply to your property, identify them before quoting. Describing a requirement does not establish that LV Knights offers the process or certification involved.

What Photos or Notes Can Help

A short room list and clear condition notes can help explain a request. If you wish to share photos, ask the cleaning company how to provide them. A wider view can show the layout, while a closer view can explain the specific buildup or surface you are discussing.

  • Label notes or photos by room or area.
  • Explain which details need attention and which items will remain.
  • State whether the image shows the current condition.
  • Keep unrelated people, confidential documents and sensitive access information out of the images.

Photos support the conversation; they do not replace an agreed scope or confirm that a requested task is included. The initial request can still be useful when you only have written notes.

Questions to Ask Before Scheduling

Before making arrangements, check that the cleaning plan reflects the areas and priorities you described. Ask about anything that remains unclear.

  • Which rooms, surfaces and tasks are included in the estimate?
  • Are any requested details outside the agreed scope?
  • What preparation or access arrangements need to be confirmed?
  • Has the requested frequency been discussed, if relevant?
  • What appointment timing is actually available?
  • Who should receive property instructions or changes to the request?

Keep the agreed work and timing distinct from your initial preferences. A quote conversation helps establish those details; it does not promise a fixed turnaround or automatically commit either party to an ongoing arrangement.

Commercial Cleaning in the Las Vegas Area

For a service-focused overview, visit LV Knights’ Commercial Cleaning page. LV Knights serves Las Vegas, Henderson and Summerlin. Share the location, property condition and requested work so the scope can be discussed.

If the request is specifically for a vacant apartment between residents, Apartment Turnover Cleaning may be the more relevant service. Start with the space’s purpose, then organize the room details, access and timing around it.
